USUALLY, THE PROBLEM ISN'T THE PEOPLE. IT'S THE PROCESS.

Every organization develops ways of getting work done. Over time, those processes can become more complicated than they need to be. Extra steps get added. Workarounds become normal. Information gets entered in multiple places. Responsibilities become unclear. Bottlenecks develop between teams. And sometimes, nobody has had the opportunity to look at the entire process from beginning to end. P2G Services helps organizations step outside the day-to-day work and take a fresh look at how things actually get done.

We observe the work, talk with the people performing work, map the existing process, identify opportunities, and help develop practical improvements that make sense for the organization.

UNDERSTAND THE CURRENT STATE

Before recommending a change, we work to understand how the process operates today, including the difference between how a process is documented and how the work is actually performed.

LISTEN TO THE PEOPLE DOING THE WORK

Employees closest to the work often understand the obstacles, workarounds, and inefficiencies better than anyone else. Interviews and working sessions help bring that knowledge into the improvement process.

FIND PRACTICAL OPPORTUNITIES

The goal isn't change for the sake of change. It's identifying improvements that make work simpler, clearer, more consistent, or more effective.

FROM A SINGLE PROCESS TO A BIGGER OPERATIONAL CHALLENGE

PROCESS DISCOVERY & EVALUATION

We start by first understanding the work. Depending on the engagement, P2G may use:

  • Employee and stakeholder interviews
  • Direct observation
  • Existing procedures and documentation
  • Workflow review
  • Process mapping
  • Roles and responsibility review
  • System and information-flow review
  • Identification of bottlenecks and handoffs
  • Review of known pain points and workarounds

PROCESS MAPPING

Sometimes simply seeing the entire process can change the conversation. P2G can document the current workflow from beginning to end, helping teams visualize:

  • Process steps
  • Decisions
  • Roles and responsibilities
  • Handoffs
  • Inputs and outputs
  • Systems and tools
  • Dependencies
  • Rework and duplication
  • Bottlenecks
  • Opportunities for improvement

IMPROVEMENT & OPTIMIZATION

Once the current state is understood, we can work with the organization to identify opportunities for a better future state. Recommendations may involve:

  • Simplifying workflows
  • Eliminating unnecessary steps
  • Reducing duplication
  • Improving handoffs
  • Clarifying responsibilities
  • Improving communication
  • Standardizing repeatable work
  • Improving information flow
  • Identifying opportunities for technology or automation
  • Developing practical measures of process performance

IMPLEMENTATION SUPPORT

Recommendations only create value when they are put into practice. When requested, P2G can remain involved to provide additional support during implementation.

Depending on the project, implementation support may include:

  • Implementation planning
  • Workflow redesign
  • Stakeholder coordination
  • Procedure development or revision
  • Testing and validation
  • Training support
  • Change coordination
  • Technology implementation support
  • Follow-up evaluation
  • Adjustment and continuous improvement

Note: Implementation support can be scoped separately based on the customer's needs.

PROJECT-BASED OR ONGOING SUPPORT

Engagements can range from evaluating a single process to providing ongoing support for larger improvement initiatives.

PRICING

Process Improvement & Optimization engagements are scoped individually based on the process, organization, complexity, number of stakeholders, location, deliverables, and level of implementation support requested. We’ll start with a conversation about what isn't working as well as you'd like, and we'll help determine the appropriate next step.

How It Works

 UNDERSTAND FIRST. IMPROVE SECOND.

Step 1 > START WITH THE PROBLEM

Tell us what's driving the conversation. Maybe a process takes too long. Work keeps getting duplicated. Teams aren't communicating well. Customers are experiencing delays. Employees are frustrated. Or perhaps you simply know there has to be a better way. You don’t need to have the figured-out solution before contacting us.

Step 2 > SEE HOW THE WORK ACTUALLY HAPPENS

We'll learn the current process through methods appropriate for the engagement. That may include observing work, interviewing employees and stakeholders, reviewing documentation, examining systems, and following the process from beginning to end.

Step 3 > MAP & ANALYZE THE CURRENT STATE

We'll organize what we've learned into a clearer picture of how the process operates today. Together, we can identify bottlenecks, unnecessary complexity, duplication, unclear responsibilities, communication gaps, and other opportunities.

Step 4 > DESIGN A BETTER FUTURE STATE

P2G develops practical recommendations based on what we've learned. The objective is not to create the most complicated solution. It's to develop improvements that make sense for the people, systems, resources, and realities of the organization.

Step 5 > IMPLEMENT, LEARN & IMPROVE

Organizations can take the recommendations forward internally or ask P2G to remain involved. When requested, we will help support implementation, evaluate how the changes are working, and make adjustments to improve the process as the revisions become part of normal operations.

A FRESH SET OF EYES CAN MAKE A DIFFERENCE.

Have questions about our services? Our most common inquiries are answered below.

  • DO WE NEED TO KNOW WHAT THE PROBLEM IS BEFORE CONTACTING P2G?

No. Sometimes an organization knows exactly where a problem exists, and other times the symptoms are obvious, but the underlying cause isn't. Part of our engagement can be helping to identify the pain points and areas where the process is breaking down.

  • DO YOU INVOLVE EMPLOYEES?

Yes, when appropriate. The people performing the work often have valuable insight into what works, what doesn't, where delays occur, and which workarounds have developed over time. Gathering input from employees and stakeholders can be an important part of understanding the current state as well as potential improvements.

  • IS THIS AN EMPLOYEE PERFORMANCE EVALUATION?

Not typically. Process improvement focuses primarily on understanding how work gets done and identifying opportunities within the process, systems, tools, communication, and organizational structure surrounding that work. The objective is improvement, not finding someone to blame.

  • WHAT IS PROCESS MAPPING?

Process mapping creates a visual representation of how work moves from beginning to end. It can help teams see steps, decisions, responsibilities, handoffs, systems, delays, duplication, and dependencies that may be difficult to recognize when everyone only sees their portion of the process.

  • DO YOU USE A SPECIFIC IMPROVEMENT METHODOLOGY?

P2G may draw from established process-improvement practices and tools, but the engagement is truly built around the organizations actual needs rather than force fitting a specific methodology. Methods should be tools to serve the problem, not become the project scope.

  • CAN YOU HELP US AUTOMATE PARTS OF THE PROCESS?

Potentially. Technology and automation opportunities identified during process improvement may transition into P2G's Digital Transformation / Integration services when appropriate. The process should be understood before deciding if technology is the solution.

  • DO YOU STAY INVOLVED AFTER MAKING RECOMMENDATIONS?

If you want us to, yes. Some customers only desire an outside evaluation, process map, and recommendations. Others request that P2G remain involved through implementation, testing, documentation, training, or follow-up. The level of support is determined as part of the overall engagement.

  • CAN YOU WORK WITH OUR EXISTING TEAM OR OTHER CONSULTANTS?

Yes. Process improvement often involves multiple departments, subject-matter experts, technology teams, leadership, vendors, and other stakeholders. P2G can work collaboratively within the customer's existing project or organizational structure.

  • CAN YOU GUARANTEE A CERTAIN AMOUNT OF SAVINGS?

No. Process improvements may create opportunities to reduce time, waste, duplication, delays, or unnecessary effort, but outcomes depend on the organization, process, implementation, and many other factors. However, where practical, we can help establish measures that allow the organization to evaluate whether implemented changes are producing the desired results.

YOU DON'T HAVE TO KNOW THE SOLUTION. LET’S START WITH WHAT ISN'T WORKING.

Maybe it's a process everyone complains about. Maybe it's a spreadsheet that's somehow become mission critical. Maybe employees have created five workarounds just to get through a task that should be simple. Or maybe the process works, but you know it could work better. Either way, show us how the work gets done.

We'll ask questions, listen to the people who know the process, map what is happening, and help identify practical opportunities to improve it. If you want us to stay and help put those improvements into practice, we can do that too.

Understand the need. Solve the problem. Earn the trust.
